PropertyVector is a trading name of Arturs Radionovs, a sole trader based in England and Wales. Our address for correspondence is Flat 2, Alban Court, West End Lane, Barnet EN5 2SA.

For the personal data described in this policy we are the data controller.

This policy explains how we handle personal data when you visit propertyvector.co.uk, contact us, register interest in PropertyVector or receive emails from us.

When the PropertyVector platform launches, estate and letting agencies will use it to manage data about their own clients, applicants, vendors and landlords. For that data the agency is the data controller and we act as its data processor. If you are a client of an agency that uses PropertyVector, the agency’s own privacy notice explains how your data is used. Our role as a processor is described on our GDPR page.

Information you give us

• Contact details — your name, email address, phone number, job title and agency name when you email us or register interest.
• Correspondence — the content of emails and messages you send to info@propertyvector.co.uk, sales@propertyvector.co.uk or support@propertyvector.co.uk, and our replies.
• Business information — details you choose to share about your agency, such as branch numbers, the systems you use and what you need from a CRM or website.

Information collected automatically

• Technical data — when you visit the website, our hosting provider records standard server logs, including your IP address, browser type, the pages requested and the date and time of the request. These logs are used to keep the website secure and working.

We do not knowingly collect special category data (such as health information) and ask that you do not send it to us.

UK GDPR requires a lawful basis for each use of personal data. Ours are set out below.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms. You can ask us for details of that assessment.

Replies to your messages come from the address you wrote to. Automated messages — such as confirmations and notifications, including those sent to applicants on behalf of agencies using PropertyVector — are sent from noreply@propertyvector.co.uk. That mailbox is not monitored, so please contact support@propertyvector.co.uk if you need help.

Every marketing email includes an unsubscribe link. You can also opt out by emailing info@propertyvector.co.uk.

We do not sell personal data. We share it only with:

• Service providers who host our website, provide our email service and supply other IT services. They act on our instructions under written contracts.
• Professional advisers such as accountants, lawyers and insurers, where needed.
• Authorities such as HMRC, the police or regulators, where the law requires it.
• A buyer or successor if our business, or part of it, is sold or restructured.

A current list of our service providers is available on request.

Some of our service providers may process data outside the UK. Where they do, we make sure the data is protected — either because the destination has UK adequacy regulations, or by using the ICO’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

• Enquiries and correspondence — up to 24 months after our last contact with you, unless you become a customer.
• Marketing preferences — until you unsubscribe. We then keep a minimal record so that we do not contact you again.
• Customer and financial records — for the length of the contract and six years afterwards, in line with UK limitation periods and tax rules.
• Server logs — for a short period set by our hosting provider, normally no more than 90 days.

The website does not currently use cookies, analytics or advertising trackers, and it does not store information on your device. Our fonts and images are served from our own domain, so visiting the site does not send your data to third-party font or analytics services.

If we introduce analytics or other non-essential cookies, we will update this policy and ask for your consent before setting them.

We use appropriate technical and organisational measures to protect personal data, including encryption in transit (HTTPS), access controls and least-privilege access for staff and suppliers. No method of transmission over the internet is completely secure, but we work to protect your data and will notify you and the ICO of a personal data breach where the law requires it.

Under UK GDPR you have rights to access, correct, delete, restrict, move and object to the use of your personal data, and to withdraw consent at any time. These rights, and how to use them, are explained on our GDPR page.

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

We will update this policy as PropertyVector develops — in particular before the platform launches. The date at the top of this page shows when it was last changed. Where changes are significant, we will tell people we are in contact with.
